RESPONSIBILITY
OF CHARTERED CLUBS & ORGANIZATIONS
Chartered student clubs
and organizations have a responsibility to follow all college policies,
procedures, and the laws of the State of Washington. If a chartered student
club or organization is unsure about what policies, procedures or laws affect
them, please ask your advisor first. If they are unable to answer your question,
please contact the Office of Student Life. As part of the campus community
it is important to consider how students and staff will perceive your organization's
decisions and activities. A chartered student club or organization shall
never take action based on the intent or motivation to bring harm or have
willful disregard for the rights and safety of all whom are part of the South
Puget Sound Community College learning community. Any action to do so by
a chartered student organization will result in revocation of the organization's
charter.
Following are the rights of chartered student clubs/organizations:
- All chartered student
clubs/organizations have the right to use the name of South Puget Sound
Community College in connection with their own, as long as it complies
with college policies, procedures and State/federal law.
- The right to apply
for, and use, funds as outlined in the South Puget
Sound Community College Services & Activities
Fee Financial Code.
- The right to schedule
College facilities in accordance with the scheduling policy (See the Quick
Reference Guide in this handbook).
- The right to post information
about the chartered student club/organization in accordance with
the College’s
posting policy. The
VP of Clubs and Organizations maintains the boards
for all club activity. All club promotions and publications
must have club contact information. Remember that
S&A fees are specifically intended to benefit students
on campus; using S&A funded equipment to subsidize an off-campus
group’s
marketing or promotion is inappropriate. All postings
for S&A
fee funded events must include the following: “If you require disability accommodations, please contact the Office of Student Life at studentlife@spscc.ctc.edu, or call 596-5306 for assistance.”
Maintaining Active Status
It is the responsibility of the chartered student organization to maintain
on-going communication with the Office of Student Life Program Coordinator
and the ASB Vice President for Clubs and Organizations by providing a copy
of all of the club/ organization's materials including flyers, posters, agendas,
meeting minutes, and a quarterly report of all club/organization activities.
To show active status, clubs/organization materials submitted to the Office
of Student Life Program Coordinator must include:
Quarterly Update Form - Preparation of a written report
that includes events, activities, and programs offered by the chartered student
club/organization for the quarter. Chartered student club/organizations must
have a minimum of one meeting, event or program per month to be considered
active. Club/organization meeting times and location must be provided to
the Vice President for Clubs and Organizations at the first club roundtable
meeting of every quarter, and must report any changes in meeting times/locations
in a timely manner.

- List of active membership
- Contact information for officers, including email if available.
- Copies of meeting minutes
- Record/ledger of financial revenue/expenditure transactions.
Any chartered student club/organization which has not submitted a quarterly
report by the end of each quarter shall be considered inactive and will
have its’ funds frozen. Once the required documentation has been submitted,
the funds will be unfrozen.
